Retention and Destruction of Information
Retention of Personal Information
Terra Dygital retains personal information only for as long as necessary to fulfill the purposes for which it was collected, to meet legal and regulatory obligations, and to support legitimate business needs.
Retention periods vary depending on the nature and sensitivity of the information, the potential risk of harm from unauthorized use or disclosure, and any applicable legal, contractual, or operational requirements. When personal information is no longer required, it is securely destroyed or permanently de-identified in a manner that prevents unauthorized access, use, or disclosure.
Destruction and De-Identification of Information
When personal information is no longer required for the purposes for which it was collected, or for legal, contractual, or business reasons, the organization ensures it is securely destroyed or permanently de-identified so that it can no longer be associated with an identifiable individual.
To support this requirement, the organization applies the following:
-
Retention Tracking
Records are classified and assigned retention periods based on their purpose, sensitivity, and applicable legal or regulatory requirements. Each record type is monitored to ensure timely review and secure disposal once the retention period expires. -
Periodic Review
Regular reviews are conducted to identify records that have met or exceeded their approved retention period and to initiate secure destruction or de-identification. -
Secure Disposal Methods
-
Physical records are destroyed using secure methods such as cross-cut shredding or by an approved third-party destruction service.
-
Electronic records are permanently deleted from active systems and backups using secure wiping, cryptographic erasure, or other industry-accepted techniques.
-
-
Documentation and Accountability
Destruction and de-identification activities are documented to maintain an auditable record of compliance and to demonstrate that appropriate safeguards were applied.
